I used to email PDFs and hope they didn't get forwarded. Now I just create a secure link, set some controls, and share. Game changer.

Security Features That Actually Matter

Here's what I use to protect my documents - and why each feature matters:

Access Control (The Basics)

  • View Limits Why I use it: Set it to 3 views per person. Prevents someone from sharing the link with 50 people. I learned this the hard way - had a proposal link shared in a company Slack channel. Never again.
  • Time Restrictions Why I use it: Expiration dates create urgency. "This link expires in 7 days" gets faster responses than "here's my proposal, get back to me whenever."
  • IP Filtering Why I use it: For super sensitive stuff, I restrict access to specific IP ranges. Not something I use often, but it's there when I need it.

Protection Features (The Real Security)

  • Dynamic Watermarks Why I use it: Shows the viewer's email or IP on every page. If someone screenshots and shares it, I know who did it. This alone has prevented 3 leaks for me.
  • Print Control Why I use it: Disable printing completely. They can view it online, but can't print it. Perfect for proposals and contracts.
  • Download Prevention Why I use it: This is the big one. They can't download the PDF at all. View-only mode. Once the link expires or I revoke it, they can't access it anymore. No saved copies floating around.
My Security Setup

For client proposals, I use: password protection + view limits (3 views) + expiration (30 days) + download prevention + watermarks. Overkill? Maybe. But I've never had a document leak since I started using this setup.

How I Actually Use This (Real Examples)

Client Proposals

I'm a freelancer, and I used to email proposals as PDF attachments. Problem? Clients would forward them to competitors for price comparisons. Now I create a secure link with password protection and view limits. They can view it, but can't download or forward it. Plus, I know exactly when they open it - helps me time my follow-up perfectly.

Student Projects

My friend uses this for group projects. Instead of dealing with email file size limits or Google Drive permission nightmares, she just uploads the PDF, gets a link, and shares it in the group chat. Everyone can view it online without downloading anything. And if someone needs to see it later, the link still works.

Sales Materials

I know a sales guy who uses this for pitch decks. He creates a secure link, sets it to expire after 7 days, and tracks who actually views it. If someone views it 5+ times, he knows they're interested and follows up. The expiration date creates urgency too - "This link expires in 3 days" gets responses faster.
